Bodyshop Advisor

The BodyShop Advisor, via excellent customer service, conducts consultation on service required on vehicles, prepares preliminaryestimatese/final pricing, and through dialogue with Technicians, Workshop Supervisor, and the Parts Department. He/she ensures the billing corresponds with the service provided in accordance with Dealership and ATL Standard Operating Procedures.

Task Breakdown:
  • Greet customers in a professional and courteous manner.
  • Conduct consultation of service required, prepare estimate, and schedule job date on vehicle.
  • Conduct vehicle check-off & sanitization.
  • Conduct an audit and spot check.
  • Prepare preliminary estimate in consultation with Technicians, Workshop Supervisor, and Parts Department.
  • Prepare final pricing.
  • Prepare report and transfer to job card prior to handing over to the Dispatcher.
  • Ensure accurate and complete billing to customers for delivery upon completion of service to the vehicle.
  • Satisfy customer requests for accurate delivery information (Active Delivery) on time.
  • Ensure that all sublet repairs are accurately re-charged (at cost and selling as laid down in Standard Operating Procedures).
  • Ensure invoices are completed prior to closure or payment at the cashier and that all parts and labour are invoiced correctly (check Repair Order (RO) labels/requisition issued against the Request Order).
  • Ensure Purchase Orders are correctly processed through to the relevant system and obtain the Service Managers’/Assistant Service Managers’ approval. 
  • Ensure Purchase Order log and other reports are actioned by Service Advisors.
  • Handle customer issues in a timely and professional manner.
  • Have a functional relationship with the Estimating System.
  • Conduct daily estimates vs. the actual billing by contacting the Parts Department in case of Parts price differences. Liaise with the Body Shop Supervisor in case of labour operations differences and for additional parts/labour.
  • Ensure body shop work Repair Orders are not closed before all supplementary estimates have been processed by the insurance Companies (maintain a log).
  • Maintain insurance estimates and complete files in conjunction with the Body Shop Supervisor.
Service Functions:
  •  Maintain a daily sheet of all work-logging Technicians and all details.
  • Record hours worked. Time started. Promised to Customers.
  • Record estimates on Repair Orders and record appointments on register.
  • Assign work to technicians according to their skill level and time promised.
  • Follow up work in progress. Inform customers ahead of time if “time promised” cannot be kept.
  • Compare the final invoice with the original Repair Order and analyze quality control report.
  • Assist in preparing Warranty claims according to Distributor procedures.
  • Maintain service files.
  • Administer special programs such as in-house Warranty and Mechanical Insurance Plans, etc.
Qualifications and Experience:
  • Minimum 5 O-level subjects, including Mathematics and English.
  • Tertiary Level certification.
  •  Valid Driver’s License.
  • Analytical Skills and the ability to multitask while observing deadlines and forecasts.
  • At least 2 years’ experience in a dealership and a manufacturer's position.
  • At least 2 years’ customer service experience (Customer Service Training an asset.
  • Excellent Communication (oral/written) and Interpersonal Relationship Skills.
  • Computer literate with applications and software i.e., Windows/Excel/Access/Outlook.
