Client Services Administrator
 
The Client Service Administrator is responsible for coordinating all administrative activities within the Advertising, Marketing, and Communication (AMC) department, including oversight of clerical assistants and providing guidance on welfare and personal matters. The role supports the media group’s sales and marketing operations by driving advertising revenue, preparing sales presentations, maintaining client relationships, and coordinating client campaigns.

Duties and Responsibilities:


Sales and Business Development
  • Identify and pursue new advertising opportunities across the media house’s platforms (radio, audiovisual, print, digital, social media, and events).
  • Contact potential clients through calls, emails, networking, and client visits.
  • Prepare and present advertising packages/contracts tailored to client needs.
  • Assist in negotiating advertising rates and contracts for in-house clients.
  • Meet and exceed monthly and quarterly sales targets.
  • Maintain a pipeline of prospective clients and follow up regularly.

Client Relationship Management
  • Serve as a point of contact for advertisers and corporate clients.
  • Build long-term relationships with clients to encourage repeat business.
  • Ensure clients are satisfied with print jobs, advertising campaigns, and general services.
  • Address client inquiries, complaints, and campaign adjustments promptly.
  • Conduct post-campaign follow-ups to measure client satisfaction and effectiveness.

Advertising Campaign Coordination
  • Coordinate advertising schedules with graphics, traffic, production, and programming teams.
  • Ensure all advertising materials (scripts, audios, graphics, videos, banners, etc.) are received on time.
  • Monitor clients’ ad placement, performance, and delivery across platforms.
  • Prepare campaign briefs and communicate client requirements to the creative team.
  • Ensure ads are aired/published according to agreed schedules.

Administrative Duties
  • Maintain accurate client records, contracts, and sales documentation.
  • Prepare sales reports, revenue tracking reports, and performance summaries.
  • Assist with bookings, invoicing clients, and following up on payments.
  • Organize and maintain filing systems for sales documents and agreements.
  • Schedule meetings, appointments, and sales presentations.
  • Support the sales team with general office and administrative tasks.
  • Coordinate the workflow of the clerical assistants
  • Liaise with HR regarding employee issues to ensure documentation is properly processed and procedure adhered to.

Marketing Support
  • Assist in the development and promotion of advertising packages and media kits.
  • Participate in promotional events, sponsorship activities, and media campaigns.
  • Provide input for marketing strategies and promotional initiatives.

Reporting and Documentation
  • Prepare daily, weekly, and monthly sales/revenue reports.
  • Maintain CRM or client database systems.
  • Track advertising inventory and available slots.
  • Report sales activities, leads, and pipeline updates to management.
  • Perform any other duties assigned.

Qualifications, Skills, and Experience Required:
  • Diploma or bachelor’s degree in marketing, Business Administration, Communications, Media Studies, or related field.
  • 1–3 years’ experience in sales, advertising, media, or administrative roles.
  • Experience in media sales, advertising, or marketing is an advantage.
  • Ability to work without close supervision.
  • Ability to use Microsoft PowerPoint and Excel spreadsheets.
  • Basic marketing and sales concepts.
  • Media, website, and advertising terminologies and jargons.
  • Proficiency in Microsoft Office Suite, Canva, and AI tools.
  • Excellent communication and presentation skills.
  • Strong sales and negotiation abilities.
  • Good organizational and administrative skills.
  • Ability to manage multiple clients and deadlines.
  • Strong customer service orientation.

SPECIAL CONDITIONS ASSOCIATED WITH THE JOB                           
Will be required to assist with events (internal and external), work outside normal working hours, and, from time to time, out-of-town trips will occasionally require an overnight stay.
